Sending WhatsApp Appointment Reminders from Setmore

If you use Setmore to take bookings from clients, you can connect it to Broadcaster and send automatic WhatsApp reminders before each appointment. Setmore handles the online booking, Broadcaster handles the WhatsApp communication.
What your clients receive
Your client receives a WhatsApp message from your business number ahead of their appointment. The message includes their name, the booking date and time, and any details from your reminder template. You choose the timing, a few days before, the day before, the morning of, or a combination.
Setmore already sends its own email and SMS reminders. Broadcaster adds WhatsApp on top of that, which typically gets significantly higher open and read rates.
How to connect Setmore to Broadcaster
Setmore syncs booked appointments to Google Calendar. Broadcaster reads that calendar feed. Your Setmore bookings flow through to Broadcaster automatically.
Step 1: Connect Setmore to Google Calendar
- Log into your Setmore account on a desktop browser
- Go to Apps & Integrations from the main menu
- Find Google Calendar and click Connect
- Sign into your Google account and authorise the connection
- Select the calendar you want Setmore to sync bookings into and save
Your Setmore bookings will now appear in Google Calendar.
Step 2: Get your Google Calendar iCal feed URL
- Open Google Calendar in a desktop browser
- Find the calendar Setmore is syncing into under My calendars
- Click the three dots next to the calendar name and select Settings and sharing
- Scroll down to Integrate calendar
- Copy the Secret address in iCal format
Step 3: Add the feed to Broadcaster
- Log into your Broadcaster account
- Go to Integrations in the left-hand menu
- On the ICS Calendar Feed card, press Add connection, then paste your Google Calendar iCal URL into Calendar URL and choose how often Broadcaster should check it: every hour, every 6 hours, or twice a day
- Press Add calendar feed

Broadcaster matches a calendar event to a contact by phone number first, then by email, then by name. If nobody matches, the visit is not booked: it is listed on your Integration Activity page until you add the person, and then books itself. If you would rather Broadcaster added the person and booked the visit straight away, choose that option in the feed’s settings under Integrations.
Setmore collects client details at the point of booking. If you ask clients for their phone number in your booking form, make sure those numbers are also added to Broadcaster so the matching works correctly.
