Sending WhatsApp Appointment Reminders from Google Calendar
Last updated: September 16, 2026
If you use Google Calendar, with or without user booking forms,to manage your appointments, connecting it to Broadcaster takes about ten minutes. Once connected, Broadcaster reads your calendar and sends automatic WhatsApp reminders to your clients before each appointment, no extra admin, no manual messages to send.
What your clients receive
Before their appoinment is due, your client gets a WhatsApp message sent directly from your business number. The message includes their name, the appointment date and time, and any details you have configured in your reminder template. Depending on your settings, you can send reminders several days before, the day before, or the same day, or all three.
The message arrives in WhatsApp, which means most clients read it. No app to download, no email to miss.
How to connect Google Calendar to Broadcaster
Google Calendar uses a standard iCal feed (also called an ICS feed) to share appointment data. Broadcaster reads this feed to pull in your upcoming appointments.
Step 1: Get your Google Calendar iCal feed URL
- Open Google Calendar in a desktop browser — this does not work in the mobile app
- In the left sidebar, find the calendar you want to use under My calendars
- Click the three dots next to the calendar name and select Settings and sharing
- Scroll down to Integrate calendar
- Copy the Secret address in iCal format — this is the URL you need
Keep this URL private. Anyone with it can view your calendar.
Step 2: Add the feed to Broadcaster
- Log into your Broadcaster account
- Go to Integrations in the left-hand menu
- On the ICS Calendar Feed card, press Add connection, then paste your Google Calendar iCal URL into Calendar URL and choose how often Broadcaster should check it: every hour, every 6 hours, or twice a day
- Press Add calendar feed
Broadcaster will start reading your calendar within the hour. New and updated appointments will sync automatically.
For full details on the iCal connection process, see our calendar connection guide.
What gets synced
| What syncs | Notes |
|---|---|
| Appointment date and time | Yes |
| Appointment title | Yes, from the event title in Google Calendar |
| Client phone number | Used to find the matching contact. If nobody matches, the visit is held until you add the person, or Broadcaster can add them for you |
| Client name | Matched from Broadcaster by phone number, then email, then name |
| Appointment notes | Yes, from the event description field |
Broadcaster matches a calendar event to a contact by phone number first, then by email, then by name. If nobody matches, the visit is not booked: it is listed on your Integration Activity page until you add the person, and then books itself. If you would rather Broadcaster added the person and booked the visit straight away, choose that option in the feed’s settings under Integrations.
Does this work for my trade?
Google Calendar works well as a starting point for almost any trade or service business: window cleaners, lawn care, domestic cleaners, pest control, gas engineers, and many others use it to manage their diary, either on its own or synced from another tool like Tradify, Fergus, or Powered Now.
If your job management app does not provide a direct iCal feed, it may sync to Google Calendar. In that case, connect the Google Calendar feed to Broadcaster rather than the job management app directly. See the full list of supported apps to check whether your system qualifies.
